Job Title Engineering Coordinator Job Description Summary The
Engineer (Facility) Coordinator provides assistance to Cushman &
Wakefield - Mobile Facility Solutions and companywide clients, with
a heavy focus on facility management needs and client relations.
Additionally, providing support to our national mobile engineering
team and contributes to successful business operations. Job
Description ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
- Support the development and implementation of all Engineering
specific and general internal controls, general policies &
procedures for all Engineering activities
- Assist with client invoice creation, inquiries, tracking and
problem resolution. Also participate in the documentation and
improvement of client invoicing processes, with integration to
existing corporate functions.
- Communicate with clients regarding work order statuses and
inquiries
- Assist with resolution of issues and request for services from
clients
- Communicate with Mobile Engineers timely and efficiently
regarding timecards, client requests, emergencies and any
deliverables
- Support all Engineering specific A/P, A/R, Payroll and
Administrative processes and functions.
- Maintenance and management the accuracy of CMMS systems and
various databases
- Provide on-boarding training of new employees including but not
limited to:
- C&W's contractual obligations with regard to Response time
and Reporting
- Capturing of Payroll using the Replicon system
- Work order / PM administration - daily/weekly/monthly, work
orders/PMs routines
- Purchasing Card Use
- Suppliers/Vendors
- ABUKAI software process to upload invoices
- Vehicle use and responsibilities
- Responsible for acquiring, distributing and tracking
hardware/software, uniforms, tools, new hire documentation (EAF's),
fuel and maintenance cards, and materials purchasing processes
(tracking and invoicing to clients), with integration to existing
corporate functions
- Be familiar with employer's contractual labor obligation with
respect to benefits and payroll requirements
- Reconcile bi-weekly payroll timesheets to payroll
- Submit completed payroll analysis for review and approval by
management
- Manage work request scheduling for Mobile Engineers to align
with client needs and demand
- Track & monitor employee Environmental Health & Safety (EHS)
issues
- Work closely with the EHS manager to communicate any field
related injuries or accidents
- Monitor employee compliance of all Engineering related
activities (vehicle usage, fuel consumption, engineering
productivity, cell phone usage, purchasing card usage, client
billing processes, etc.)
- Assist in the supporting the Engineering infrastructure
functions, monitoring and reporting of operational
performanceREQUIREMENTS
- College degree in accounting, human resources, or applicable
discipline is highly preferred
- Must be able to work independently, multi-task and to
prioritize work requests
- A minimum of three (3) years of work experience in
administrative, accounting or tenant services
- Experience with data entry, reporting, filing, answering
phones, scheduling and communication is a must. Prior experience
working in the property management or commercial HVAC field service
company's or financial services industries preferred
- The candidate must be highly computer literate, including
detailed knowledge of spreadsheets (Excel), mail merge, scheduling
(Outlook), word processing (Word), and other MS Office and database
applications
- Must be proficient in communicating at all levels of both oral
and written form and competent at preparing professional
comprehensive memorandums, letters, reports, documents, files,
etc
- Understanding of general accounting and financing is a plus.
Experience with YARDI is a plus
- Working knowledge of account payables, receivables, budgets,
and expenditure control is a plusADDITIONAL ELIGIBILITY
QUALIFICATIONS
- Working knowledge of lease terms, the reconciliation process
for Common Area Maintenance, insurance, and real estate taxes
- Proficient in understanding management agreements and contract
language
- Working knowledge of computer software programs and base
building systems
- CMMS system experience from administrator, vendor, or client
level
- Computer proficiency with Microsoft Office Suite (MS Word,
Excel and PowerPoint)
- Demonstrated ability to exercise good judgment
- Excellent interpersonal skills
- Ability to work a flexible schedule and independentlyWORK
ENVIRONMENTThis job operates in a professional remote and in-office
environment. This role routinely uses standard office equipment
such as computers, phones, mobile devices, photocopiers, filing
cabinets and fax machines.PHYSICAL REQUIRMENTS
- Involves work of a general office nature; typically includes
extended periods of sitting and/or operation of a computer for up
to 8 hours a day
- May involve periods of standing, such as operating at a
copier/fax/scanner
- Regularly required to talk, hear, and use hands and fingers to
