Job Description:

POSITION SUMMARY:The Program Management Coordinator works as a part of the Program Management team to manage the development and production of advertising programs (print, broadcast, collateral, experiential, digital content, etc.) on behalf of our client. They are primarily involved in assisting in the day-to-day activities of the account and will serve as administrative and traffic support for the team.Garage Team Mazda offers a vaccinated, hybrid working environment which is a blend of on-site work to allow for purposeful collaboration, community, and connectivity with colleagues, along with remote work offering work-life balance and flexibility.MAJOR RESPONSIBILITIES:

  • Assist team members where needed in the day-to-day development and production of advertising initiatives
  • Publish call reports to document meeting notes and client decision/approvals
  • Initiate the development of estimates and timelines for all projects with production
  • Open jobs, assign ad codes, manage job jackets/files, and facilitate archiving final production materials
  • Help guide creative work through the production process with a proactive and keen attention to detail
  • Coordinate and pull together weekly status reports on all current projects for clients, creative, and the operations team
  • Generate and update website content for placement and content quality
  • Excellent communication and interpersonal skills when dealing with internal andexternal stakeholders at all levels
  • Route materials for approval throughout various departments. Take ownership of the routing process and understand comments and questions that arise during the process
  • Manage the process with a keen attention to detail
  • Help to ensure projects follow process and adhere to agency audit guidelines
  • Fully participate in all Traffic training initiatives and activities
  • Perform administrative duties where needed and other projects as assignedKNOWLEDGE AND SKILLS:
    • Communication and/or interpersonal skills for routine contact with internal and some external stakeholders to discuss primarily factual information
    • Strong organizational skills and an ability to manage multiple projects simultaneously and proactively
    • Financial acumen
    • Working knowledge in any Content Managements systems a plus
    • Understanding of site architectures and CMS component structures a plus
    • Ability to multi-task, plan and work under pressure with supervision
    • Ability to prioritize and adjust priorities as needed
    • Strong attention to detail, follow-up skills, oral and written communication skills
    • Ability to remain calm and productive in difficult situations
    • Adaptable to change
    • Ability to work individually and as part of a team
    • Willingness to ask questions
